Transforming Member Services with iMIS and a Modern Web Experience

The Alberta Association of Optometrists set out to modernize how it serves both its members and the public. Before partnering with BSI, the organization relied on a patchwork of tools and paper-based processes that made information difficult to maintain and limited their ability to offer streamlined digital services. Today, AAO has a sleek, professionally designed iMIS RiSE website and a fully integrated data environment that supports members, highlights public programs, and positions the association for long-term digital success.
The Challenge
Before implementing iMIS, AAO’s record keeping existed across disconnected sources. Member and program information was stored on paper forms, within a custom-built Microsoft Access database, and in numerous spreadsheets managed by different staff. These fragmented systems made it difficult to maintain accurate records, created extra manual work, and limited the association’s ability to provide consistent and accessible services online.
AAO needed a centralized, reliable system that would not only consolidate their data but also support modern online services for both members and the public. They also wanted a website that reflected the professionalism of the organization and helped communicate the value of optometry across the province.
Our Solution
To address these needs, AAO worked with BSI to transition to iMIS as their single system of record. All existing spreadsheets and data from the home-built Access system were carefully converted and merged into a fully integrated iMIS database. This created one authoritative source for member information, event data, special programs, and day-to-day operations.
Replacing paper-based billing was a major milestone. With online dues billing and renewal, AAO eliminated a heavily manual process and introduced a more intuitive experience for members. This shift also improved data accuracy and reduced administrative overhead.
To better serve the public, AAO introduced a geo-location “Find an Optometrist” tool. This feature is powered by location data maintained directly through membership processes in iMIS, ensuring it remains accurate and always up to date. The result is a dependable public resource that helps Albertans easily locate licensed optometrists in their area.
Finally, BSI designed and launched a modern iMIS RiSE website for the association. The website is fully integrated with the iMIS database, allowing real-time updates and ensuring members always interact with the most current information. It offers a clean, dynamic interface that showcases AAO’s programs and strengthens the association’s digital presence.
The Results
With iMIS in place, AAO now operates with a single centralized database that supports all key programs, events, and member services. This unified system reduces duplication, increases data accuracy, and provides staff with a clear, reliable view of the information they use daily.
Paper billing is now a thing of the past. Members can complete renewals and payments online, significantly reducing administrative work and improving the member experience.
The new iMIS RiSE website elevates the association’s public profile. Its modern design and integrated content management system make it easy for AAO to highlight initiatives that enhance eye health, promote safety, and support the optometry profession across Alberta. With tools like the “Find an Optometrist” directory, the site serves as a valuable resource for the public while strengthening trust and visibility for AAO members.
